Good Practice in Trusteeship: Defined by You

Our recent Roles and Responsibilities of Trustees training became a masterclass in the diversity of charitable organisations and approaches to trusteeship—a valuable opportunity to learn from each other by sharing good practice and insights.

The trustees who attended—both experienced stalwarts and newcomers—shared excellent practices from their organisations that help things run more smoothly.

Being prepared for Trustee Meetings

One trustee praised her organisation’s approach to information dissemination, which enables trustees to fulfil their roles effectively. By ensuring that trustees read reports in advance, make notes on key points, and come prepared, meetings run efficiently. This approach allows the chair to focus on summarising reports and addressing key issues, ensuring that meetings stay on schedule.

“I was really impressed by how well the meetings are organised and run—much better than those I attended as a senior leader in the business sector.”

Separating Volunteering Roles from Trustee Roles

For many small charities, trustees often serve a dual role as both board members and volunteers. One local charity recognised the potential conflicts this could create and introduced a new internal structure to clearly define the trustee function and the operational function.

By establishing an operational committee (made up entirely of volunteers, some of whom may also be trustees), the charity ensured that day-to-day delivery was handled separately, with delegated responsibilities and a budget. While no structure can create a perfect working environment, this division of responsibility allows the charity to focus on its core work.

How Can You Remove a Trustee?

Unless your governing document explicitly outlines a removal process, removing a trustee can be more complicated than expected. Rather than waiting for an issue to arise, review your governing document now and discuss with your fellow trustees any amendments you might need to make.
